Cancellation Policy
What happens if you cancel, if you transfer your place to someone else, or if the organizer cancels the trip.
Last updated September 24, 2026 · Version 2026-09-24
1. Cancelling within 7 days of booking
If you cancel within 7 days of your original booking, you receive a full refund of the payments you made directly toward the trip.
2. Cancelling after the first 7 days
After the initial 7 day period, the $500 per person deposit is non-refundable.
Any amount paid above the deposit is handled according to the booking terms in force at the time of your cancellation. Contact the organizer to start a cancellation.
3. Transferring your booking
Transferring your reservation to another traveler may be permitted where possible. Name changes may be subject to supplier, airline, ticketing or administrative fees, which are passed on to the traveler.
4. Double Occupancy cancellations
The Double Occupancy rate requires 2 paying guests sharing 1 room. If one of the two guests cancels:
- The cancelling guest may find an eligible replacement traveler. Supplier, ticketing, administrative or name change fees may apply.
- The cancelling guest's refund follows the standard cancellation rules above.
- If there is no replacement and the remaining guest still travels, that traveler converts to the Private Room price of $3,999 and becomes responsible for the difference required to reach it.
This conversion is never applied or charged automatically. It is reviewed with the organizer first, because refunds, payments already made and supplier fees affect the final balance.
5. If the organizer cancels the trip
If the organizer cancels the entire trip, you receive a 100% refund of money paid directly toward the tour.
The organizer does not reimburse independently purchased:
- International airfare
- Visa costs
- Travel insurance
- Personal expenses or similar external costs
6. How refunds are handled
Approved refunds are returned through the original payment method by the payment provider. Cancelling a booking and issuing a refund are separate steps: a cancellation does not automatically mean a refund has been processed.
